Set up your table with your books and signage. Only two titles per author. You will have an opportunity to read an excerpt and interact for one hour with children for your book’s age category. Food is included. If you are bringing an assistant, you will add $175.00 to your fee. Tables size should be approximately 2×6 ft.. Vendors are responsible for table cloths, signage, and clean up for their area. Electricity will not be available. Only children’s books will be permitted for this session. Small tent with your signage will be permitted, if you choose. The Children’s Fest will take place on Friday, August 1, 2025 at. the Bridgehampton Child Care and Recreation Center. You will receive a pass for your vehicle for the purposes of loading and unloading. Once your vehicle is unloaded/loaded we ask that you find parking in the designated areas and permit other vendors to load/unload.

BAF events, honorees, merchandise, items, schedules, etc. are always subject to change with or without notice. ALL SALES ARE FINAL ~THERE ARE NO REFUNDS. The use of cameras or other recording equipment is strictly prohibited during the author screenings. The BAF reserves the right to search the personal belongings of any patron/guest inside or around the premises. By purchasing a ticket and by entering the premises during the BAF, you agree to be photographed/filmed and grant BAF, its successors- signed parties, carrier stations, subsidiaries, advertising agents, and their affiliated entities, the right to record and use your likeness, voice, and name worldwide in perpetuity for any purpose whatsoever without compensation. Address will be given to registrants.For all vendors who will need an assistant to attend for the full day. Please use this form to submit your fee. Food will be included for your assistant. You MUST include the name of the Vendor that you will be assisting. Assistant tickets will NOT be honored without a registered VENDOR.

Booth Appearance - We encourage vendors to make their space as attractive and inviting as possible. All tables, seating, tents, content, and decorative elements are the responsibility of the vendor. Please do not plan to extend past the footprint of your space.

Dogs/Service Animals - Service animals are welcomed. However, as defined by the ADA, service animals are not working animals, no pets. The work or task an animal has been trained to provide must be directly related to the person’s disability. Animals whose sole function is to provide comfort or emotional support do not qualify as service animals under the ADA. Please refrain from bringing your pets regardless of their pedigree. Animals will not be permitted.

Booth Size - Please do not construct booths higher than 7’ tall and width should not exceed 2×6. Only two titles per author. Only two people at one table.

Money - We strongly advise that your transactions are cashless. Black Authors Festival if not responsible.

Electricity - Not provided. Wifi Code will be provided at vendor’s own risk.

Food and Beverages - A meal will be provided for vendors and their assistant. However, extra meals, desserts, beverages, and snacks are at an additional cost. According to the Suffolk County Department of Health, serving of food or beverages in open containers is not allowed without a permit. No alcohol may be brought onto the grounds by anyone other Black Authors Festival. In addition, any outside food will be grounds to ask the vendor to pack belongings and leave without a refund. Please no eating at tables.
